    Purpose of the role:

    To ensure the smooth and efficient operation of our office and providing comprehensive support to the General Manager.



    We are seeking a highly organized and proactive Office administrator and Assistant to the General Manager to join our team. The successful candidate will be responsible for ensuring the smooth and efficient operation of our office, managing building maintenance and procurement, and providing comprehensive support to the General Manager.


    • Oversee the day-to-day operations of the office, ensuring a productive and efficient work environment.
    • Field and manage incoming inquiries, directing them to the appropriate departments or personnel.
    • Manage the maintenance and procurement of office supplies and equipment, ensuring all resources are well-stocked and in good working condition.
    • Oversee office inventory, tracking and ordering supplies as needed to maintain optimal levels.
    • Supervise and support other administrative personnel, providing guidance and ensuring tasks are completed efficiently.
    • Serve as the Personal Assistant to the General Manager, handling a variety of administrative tasks to support their daily activities.
    • Schedule and coordinate meetings, appointments, and travel arrangements for the General Manager.
    • Prepare and manage correspondence, reports, and documents on behalf of the General Manager.
    • Assist with special projects and initiatives as directed by the General Manager.


    The successful candidate needs to:

    • Proven experience in office administration, administrative support, or a related field.
    • Strong organizational and multitasking skills, with the ability to prioritize tasks effectively.
    • Excellent communication and interpersonal skills, with the ability to interact professionally with staff, clients, and vendors.
    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
    • Ability to work independently and as part of a team, demonstrating flexibility and adaptability.
    • High level of discretion and confidentiality in handling sensitive information.
    • Experience in a supervisory or leadership role within an administrative or office management capacity.

    Technical/software requirements

    • Microsoft Office Suite: Proficiency in Word, Excel, PowerPoint, and Outlook for managing documents, spreadsheets, presentations, and email communications.
    • Calendar Management Software: Familiarity with tools such as Microsoft Outlook for scheduling and coordinating meetings and appointments.
    • Communication Tools: Proficiency with platforms like Slack, Microsoft Teams, or Zoom for internal and external communications.
    • Document Management Systems: Experience with managing and organizing digital files and documents.
